Traveltrue – Terms & Conditions
Thank you for choosing Traveltrue. By using our services, you agree to the following Terms & Conditions, designed to ensure clarity, transparency, and protection throughout the booking process.
1. Quotes, Bookings & Payments
- All quotes depend on availability and current exchange rates.
- Deposits are non-refundable, unless stated otherwise, and secure your booking.
- Pricing may change until full payment is received.
- Payment must be made by the due date on your invoice or your booking may be cancelled and supplier penalties may apply.
- All payments are made in South African Rand (ZAR) unless otherwise agreed.
2. Price Adjustments
- Prices are based on supplier costs, taxes, and exchange rates at the time of quoting.
- If these change before full payment, your price may be adjusted.
- Once full payment is received, the price is final unless a supplier specifies otherwise.
3. Cancellations & Amendments
- All cancellations and changes must be made in writing.
- Supplier amendment or cancellation fees apply and will be communicated to you.
- Traveltrue may charge a non-refundable admin fee for processing these requests.
- Supplier fees vary and are outside Traveltrue’s control.
4. Refunds
- Refunds can only be processed once received from suppliers.
- Traveltrue’s service fees and commissions are non-refundable.
- Supplier refund timelines vary and may take several weeks.
5. Traveltrue’s Responsibility & Liability
- Traveltrue acts solely as an agent for airlines, hotels, tour operators, car hire companies and other suppliers.
- Traveltrue is not responsible for errors, schedule changes, delays, cancellations, actions or omissions of suppliers.
- Traveltrue is not liable for events beyond our control, including natural disasters, strikes, pandemics, border changes or travel disruptions.
- Travellers must ensure they have correct passports, visas, vaccinations and documentation.
- In accordance with the Consumer Protection Act (CPA), all travel is undertaken at the traveller’s own risk.
6. Travel Insurance
- Comprehensive travel insurance is strongly recommended.
- Insurance should cover cancellation, medical emergencies, baggage, delays and personal liability.
- Traveltrue is not responsible for losses resulting from insufficient insurance or a traveller declining to take insurance.
7. Documentation, Entry & Health Requirements
- Travellers must verify that all booking details (names, dates, passport numbers) are correct.
- International travel: Passports must be valid for at least six months after returning to South Africa (unless destination rules differ).
- Domestic travel: A valid ID is required; some suppliers may not accept driver’s licences.
- Travellers must confirm and obtain all necessary visas, entry documents, vaccinations and health clearances.
- Traveltrue is not liable for costs or losses arising from failure to meet travel requirements.
8. Travelling With Children – South African Immigration Regulations
South African immigration law requires all travellers under 18 years old to present the following for international travel:
Required Documents
- A valid passport (must be valid at least six months after return).
- Any required visas for destination or transit countries.
- An Unabridged Birth Certificate (also known as a Full Birth Certificate), showing both parents’ details.
If Travelling With One Parent
- A Parental Consent Affidavit from the non-travelling parent.
- A certified copy of the non-travelling parent’s ID.
If Travelling Without Either Parent
- A Parental Consent Affidavit from both parents.
- Certified copies of both parents’ IDs.
Additional Notes
- If a parent’s surname differs from what appears on the child’s Birth Certificate (e.g., maiden vs married name), a certified copy of the Marriage Certificate must be carried.
- All documents must be original or certified true copies from a commissioner of oaths or equivalent authority.
- Certified copies must be less than 3 months old on the date of travel.
- Travellers are responsible for ensuring the correct documentation is carried at all times.
- Traveltrue cannot be held liable for denied boarding or travel delays resulting from incomplete or incorrect child-travel documents.
9. Service Fees
- Traveltrue may charge non-refundable consultation, planning or professional service fees.
- These fees are separate from supplier charges.
10. Confidentiality, Privacy & PCI-DSS Compliance
- Traveltrue treats all client information of a personal nature as strictly confidential, subject to statutory requirements or court orders.
- We comply fully with the Protection of Personal Information Act (POPIA), Act 4 of 2013.
- All payments are processed in compliance with the Payment Card Industry Data Security Standard (PCI-DSS) to ensure safe handling of cardholder information.
11. Legal Compliance & Disclaimers
- Traveltrue operates in accordance with the Consumer Protection Act (CPA) and IATA guidelines.
- All travel bookings are subject to supplier availability and their individual terms and conditions.
- Information is provided in good faith; supplier schedules, policies and pricing may change without notice.
- Travellers are responsible for reviewing airline, accommodation, and tour operator conditions before travel.
- Traveltrue reserves the right to update or amend these Terms & Conditions at any time.
12. Acceptance of Terms
- By confirming your booking and making payment, you acknowledge that you have read, understood and accepted these Terms & Conditions.
